PDF to Word, Excel or Text: What Actually Works (and What Doesn't)
"Can you send it in Word so I can edit it?" It sounds like a simple request. Whether it is simple depends on what kind of PDF you are holding. Here is how to tell, and what to expect.
Step one: is your PDF text or a scan?
This single question decides almost everything. Open your PDF and try to select a sentence with your mouse, or press Ctrl+F (Cmd+F on Mac) and search for a word you can see on the page.
- You can select and search the text: it is a "text PDF", typically exported from Word, a website, or accounting software. Conversion tools can read the words directly.
- Nothing highlights, and search finds nothing: it is a scan. Each page is just a picture of text. Reading it needs OCR (optical character recognition), which is a different technology.
PDF to Word
Our PDF to Word converter reads the text of a PDF and writes it into a .docx file, page by page, with page breaks between pages. Wrapped lines are joined into paragraphs, so you get flowing text you can edit.
What you get is the content, not the design. Don't expect columns, text boxes, exact fonts or images to be recreated. That would need a full layout engine. For reusing paragraphs from a report, an article or a contract clause, it is exactly what you need. For reproducing a brochure, it is the wrong tool.
PDF to Excel
Tables in PDFs are the hardest thing to convert, because a PDF does not actually store "a table". It stores pieces of text positioned on a page, and any table is just an illusion made by alignment.
The PDF to Excel tool rebuilds that illusion: it groups text into rows, splits each row into cells wherever there is a clear gap, and lines cells up into columns. Numbers are saved as real numbers so you can add them up straight away. Simple, regular tables (statements, price lists, timetables) usually come out nicely. Merged cells, tables with wrapped text in cells, and complex layouts will need cleanup, so always check important numbers against the original.
PDF to plain text
If all you need is the words, PDF to Text is the cleanest option. You can read the result on screen, copy it, or download a .txt file. There is no formatting to get wrong, and it is perfect for searching, quoting, or pasting into another tool. Multi-column pages might interleave columns, because a PDF stores text in the order it was drawn, not the order humans read it.
What about scanned PDFs?
We would rather tell you plainly than have you waste time: our converters do not include OCR, so a scan will come back with no text. Here are the routes that do work for scans:
- Google Drive: upload the PDF, right-click, and open it with Google Docs. Google will attempt OCR and give you an editable document. Note this uploads the file to Google, so it suits non-sensitive documents.
- Recent versions of Microsoft Word can open PDFs and convert them to editable documents, with variable results.
- Your phone's scanner apps often have a "copy text" or "extract text" feature.
- Retyping a short page is sometimes the fastest and most accurate option.
Tips for better results
- Start from the best PDF you have. A PDF exported directly from software converts far better than a scan of a printout.
- If only a few pages matter, extract them first with Split PDF. Less to clean up.
- Remove pages you do not need with Delete PDF Pages.
- Proofread. Always check numbers, names and dates against the source, especially after any conversion.
- Keep the original PDF as the official version. The converted file is a working copy.
Need images instead?
Sometimes what you actually want is the pages as pictures for a slide or a message. That is a different job: use PDF to JPG or PDF to PNG. If you want to go the other direction and turn photos into a document, try JPG to PDF.
